Professional Experience Regulations

I have been self employed/have run my own practice since completing my Part 2. Can I count this towards the 12 months minimum required Post Part 2 experience?

Your Account
I can't remember my log-in details from my first year out. How can I find out what they are?
If you can remember the email address you used to open your account, but not your password, then you can use the 'Email me my password' option on the Sign In page. If you cannot remember any of your account details, please email us
How to I change my email address?
Go to the 'Your Account' menu item and click on 'Your Details'. You can change your email address from here and also your name and phone numbers.
How do I change my password?
Go to the 'Your Account' menu item and select 'Change Password'. For security reasons you will need to enter your old password as well as the new one.
How do I find my student number?
Go to the 'Your Account' menu item and click on 'Your Details'. Your student number is printed on this page.
Your student number uniquely identifies your account. If you call for technical support or pay over the phone it is useful to have this number handy.
Your student number is only relevant to this PEDR website.
I was registered on the old PEDR site. Do I need to register again?
No, you can log in with the email address and password you used to log in to the old site. If your subscsription for PEDR has expired you can still log in and access the free stuff.
Professional Experience and Development Records
What is the Professional Experience and Development Record?
The Professional Experience and Development Record is an electronic record of a student's professional experience, development and competency in the practice of architecture. For more information about Professional Experience see our Guide for Students.
Who can act as my Professional Studies Advisor?
Most Schools of Architecture will introduce you to your Professional Studies Advisor during your last year of study, and they will explain the PEDR monitoring and signing service that they offer. The PSA is employed by a School of Architecture or other Monitoring Institution to supervise and support students whilst they are working in practice, and they are responsible for signing your quarterly record sheets. However, if you are not sure who your PSA is, then you should contact the School where you previously studied for more information. If you have lost touch with your School or have taken more than one year out in practice, then you could either contact your local School to see if you could sign up with their Professional Studies Advisor , or you could contact the RIBA North West regional office for details of their PEDR Monitoring and Support Services.
I am an overseas qualified architect. Can I use the PEDR website to record my professional experience prior to taking Part 3?
Yes, you can record your experience using this website. You will need to appoint a Professional Studies Advisor to supervise you whilst you are in placement and sign your quarterly record sheets for you. Your Part 3 School may offer this service so you may like to contact them in the first instance.
Where can I find my records?
To access your records open item 2 'Professional Experience and Development Record' in the menu on the left and click on 'My Record'. If you are not logged in you will be prompted to do so. You can log in with the email and password you used for the old site.
Can I use paragraphs in my text descriptions?
Yes, if you press the return key to start a new line in the box for editing the description this will also start a new line in your formatted record. This applies to all text descriptions (e.g. office description, project tasks, comments etc.)
Where do I enter the time spent on each work stage?
This is now on the same page as the project details. To get to this page:
  1. Click on the 'Quarterly Records' menu
  2. Select the sheet you wish to edit
  3. Click on 'Projects' in the left menu
  4. If you have already entered the project then click on 'Edit Project' next to the project name. If you haven't entered the project then click on 'Add a new project'.
  5. Scroll down the page to find the work stage grid
You need to enter the number of hours spent on the project during the time covered by this quarterly record.
Note that you can now enter decimal points in the number of hours.
What is the difference between html and pdf format?
HTML format displays is a web page. This is generated quicker and may be the best option if you have a slow connection or you are printing a draft copy. The record will appear in another browser window. Use the print button on your web browser to print the record.

PDF format displays an Acrobat PDF file. Depending on your web browser this will either display in Acrobat Reader or ask you whether you want to view or save the document. PDFs can be saved and emailed to other people. To save an open PDF, click on the save button when the record is displayed on screen. This format usually produces a cleaner printout so you may want to use it when you print your final copy.
Can I email my record to my PSA?
Yes, you can save PDF copies of your records and email them as attachments. To email a Quarterly Record:
  1. Click on the 'Your Quarterly Record Sheets' menu and select the record sheet.
  2. Click on the 'View Record' submenu item
  3. Click on the 'View draft copy as pdf' link (or the 'View final copy as pdf' link if you have completed your record).
  4. Depending on your browser this will either display a pdf or ask you whether you want to open or save the pdf. If it displays the pdf click on the save button in the Acrobat Reader toolbar, otherwise select save when prompted.
  5. It will ask you where you want to save the pdf, change the path if necessary and make sure you remember where you saved it.
  6. Once you have saved the file you can send it as an email attachment in the same way as you would any other file. (If you don't know how to do this refer to the help for your email program).
In Internet Explorer you can also save the pdf by right clicking on the link and selecting 'Save Target As..' in the pop-up menu.
When I click on the link to view my record nothing happens. What can I do?
Try the following:

To view the HTML Version right click on the link and choose 'Open in New Window'. Note that if you do this on the link to the final version you won't be able to edit your record again.

To view the PDF version click on the link and choose ok if printing the final copy. If prompted choose 'Save' rather than open; then another option box will allow you to open the file.
The duration of my work experience in the overview is incorrect. What's wrong?
The summary of professional experience shown in the overview is based on all your quarterly record sheets. If the duration is not correct, check the dates in your quarterly record sheets. The site treats experiences at the same workplace with less than 7 days between them as one experience. The duration of the experience is the time between the start date on the first quarterly record and the end date on the last.
Why has the format of the printed record changed?
This change was made in November 2004 as a result of feedback from users of the old site. The lines used in the tables in the old format were very heavy when printed on some printers and detracted from the information in the record. Also the tables were often split across 2 printed pages.
The new format doesn't include any tables or vertical lines and is therefore more suitable to a variety of printers.
Professional Experience Regulations
I have been self employed/have run my own practice since completing my Part 2. Can I count this towards the 12 months minimum required Post Part 2 experience?
There are two main issues with this scenario. One is that the RIBA regulations state that a minimum of 12 months experience should be completed post Part 2, in the UK, under a UK registered architect. This direct supervision enables the student to seek advice and guidance from an appropriately qualified architect during their time in employment. The second issue is that self-employment may not allow the student to gain sufficient experience in all areas, for example running a job through all of the RIBA work stages, to sufficiently satisfy the Part 3 examiners that they have met all the Part 3 criteria. The RIBA recognises that it may be problematic for a student in this situation to move into employment with a practice; and would suggest arranging to discuss the matter with their PSA/Part 3 Course Leader. Possible solutions could be contacting another local practice or sole practitioner (try your local RIBA regional office for contact details) and running your jobs under their supervision; or looking for part time work within a practice which will allow you to cover areas which may be missing from your own individual practice work.
My employment mentor is not a registered architectand there is no registered architect in the practice where I am working. Can I still record my experience and will it count towards the 24 months required?
There is a greater degree of flexibility in the choice of mentor at Post Part 1 level. For example, the student could choose to work under a related Chartered professional in the wider construction field such as an engineer or surveyor. If however choosing to work under a non-registered architect, the student should consider carefully whether this person has the necessary training and skills to act as their mentor, as well as considering issues such as such as the fact that working under the title ‘architect’ is protected under law, and misuse of the title can result in prosecution. Students may like to consider whether there is another qualified professional in the practice who could act as their mentor; or consider whether it may be appropriate to spend a short period of time working there, and finding another practice for the remainder of their experience. The guidance of the PSA should be sought.
What do I do if I cannot find a year-out placement?
Have you accessed the Recession Toolkit in the members-only area of the RIBA website? (You can still be a student member during your year out). This contains various sources of useful information and guidance which may be helpful. You can also download hints and advice for finding placements from the News section of the PEDR site at: www.pedr.co.uk

You could make enquiries with your School of Architecture to see what their policy is regarding experience and entry to Part 2. Try to speak to the Part 2 course leader or administrator. The RIBA does not require students to undertake professional experience between Parts 1 and 2 - but some schools do stipulate an experience requirement.

What happens if I lose my job before completing Part 3?
Candidates should consult with their Professional Studies Advisor (PSA) in the first instance. The RIBA does not have a requirement for candidates to be in employment whilst undertaking Part 3, therefore subject to your prior experience and Part 3 course provider regulations; you may find that you are able to remain registered on your course and complete Part 3.

Can I record overseas experience?
The RIBA regulations differ for students at Post Part 1 and 2 levels, and are laid out below.

Post Part 1 There are two categories under which post-part 1 students can record overseas experience: http://www.pedr.co.uk/textpage.asp?menu=1a&sortorder=40&area=main

Providing that the period of experience is gained under the supervision of a registered architect in the country where you are working, then you may record a maximum of 12 months overseas experience as Category B.

You could also record a period of voluntary experience overseas, for example a placement involving working on an architectural project for an NGO. A maximum of 12 months of this experience may be recorded as Category K.

RIBA regulations state that a minimum of 12 months experience must be recorded after Part 2 in the UK, before you are eligible to sit the Part 3 examination. So do bear in mind that you will need to gain further experience in the UK following successful completion of Part 2.

You will need to inform the Architects Registration Board (ARB) if you intend to use a period of experience outside of the EEA towards your 24 months minimum experience requirement. The registrar will need to be informed in writing with details of your placement, your supervisor, the practice and the projects that you are involved with. It is advisable to contact the ARB for further information on this regulation before you take up the placement: www.arb.org.uk. If you have not already done so, you should also discuss your placement with your Professional Studies Advisor.

Post Part 2 The RIBA requires at least 12 months experience to be recorded in the UK post-Part 2 as stated in Regulation 1, RIBA Professional Experience Regulations www.pedr.co.uk/textpage.asp?menu=1a&sortorder=80&area=main.

Students who wish to record post-Part 2 experience gained outside the UK may apply to the RIBA for exemption from the requirement to complete a further 12 months of UK professional experience post-Part 2 providing that the student meets the criteria laid out under the Guidance Notes on Possible Exemptions from Regulation 1.

The RIBA can only consider applications from candidates who have at least 12 months experience in the UK at post-Part 1 level and have the approval of their Professional Studies Advisor. Do I record experience gained in the Channel Islands as UK or overseas experience?
The RIBA considers a placement in the Channel Islands as overseas experience; therefore the RIBA regulations for recording overseas experience as described above would apply.
Can I complete Part 3 whilst resident overseas?
This would depend on your prior experience, as at least 12 months experience post-Part 2 must be obtained in the UK. Candidates would need to consult with Part 3 course providers in order to see if this would be possible.

Some Part 3 courses require attendance at regular lectures and seminars, which would not suit a candidate based overseas. An overview of Part 3 courses is available at: http://www.pedr.co.uk/4home.asp?menu=5&sortorder=0&area=main

Some elements of the Part 3 examinations would not require candidates to be resident in the UK. However it is worth bearing in mind that the case study required by many Part 3 course providers would normally need to be based on a UK project.
What are the obligations of RIBA Chartered Practices when employing students?
RIBA Chartered Practices are obliged to adopt the RIBA Employment Policy through which Chartered Practices commit to employing students according to the information on good practice in student employment and professional training through the PEDR website, which includes guidance on payment and leave: http://www.pedr.co.uk/textpage.asp?menu=4&sortorder=0&area=main#EmpPolicy
How much experience should my mentor have?
The Employment Mentor is the individual who directly supervises and has detailed professional knowledge of the work prepared by the student undertaking professional experience. The Employment Mentor should be an architect with at least 5 years' experience of the design of buildings and the administration of subsequent contracts.

In non-architectural work settings, the Employment Mentor should be an experienced professional in their own field, and if possible, a member of an appropriate professional organisation. The Employment Mentor may not necessarily directly employ the student.
A relative has offered to employ me in their practice; can they be my employment mentor?
Whilst RIBA regulations would not prevent this, as good practice, students in this situation may like to see if there would be anyone else in the office who may be able to act as their mentor. This is obviously dependant on the size of the practice and if there is anyone else available. Students in this situation should also consult with their Professional Studies Advisor.

Payments
Do I have to pay to access the site?
Most sections of the site are free. You will need to register to view some of the free sections. For these you just need to enter your name, email address and password.

If you want to use the section for recording Professional Experience you will have to pay for this. Subscriptions last for a fixed duration from the day you make the payment. There are 2 payment options.

13 month duration: £25.00 (£21.28 + £3.72 VAT) for students resident in the UK and within the EU (select this option if you are living in the EU, regardless of nationality) £21.28 for students resident outside the EU (select this option if you are not living in the EU, regardless of your nationality)

6 month duration: £13.50 (£11.49 + £2.01 VAT) for students resident in the UK and within the EU (select this option if you are living in the EU, regardless of your nationality) £11.49 for students resident outside the EU (select this option if you are not living in the EU, regardless of your nationality)

What happens when my subscription runs out?
